To keep up with the growing Vertosoft team and our growing office, Vertosoft is seeking an Office Manager to be responsible for overseeing the daily operations of our office including overseeing the general administrative functions and planning events and activities in the office.

The role is to help create and maintain a pleasant work environment, ensuring high levels of organizational effectiveness, communication, and coordination among departments. The ideal candidate will have prior experience as office or assistant manager working in an office supporting multiple levels of employees.

Manager Job Responsibilities

  • Support all administrative duties in the office
  • Provide assistance to staff, managers, and senior-level officers as needed
  • Manage office supplies inventory and place orders as necessary
  • Perform receptionist duties: greet visitors, answer and direct phone calls
  • Maintains security by following procedures, monitoring logbook, and issuing visitor badges
  • Receive and sort incoming mail and deliveries, and manage outgoing mail
  • Ensure conference rooms and other meeting spaces are prepared prior to use
  • Keeps a safe and clean reception, lounge, conference rooms, and kitchen areas.
  • Handling incoming calls and other communications.
  • Welcoming visitors to your office
  • Helping organize and maintain office common areas.
  • Performing general office duties and errands.
  • Organizing travel by booking accommodation and reservation needs as required.
  • Coordinating events as necessary.
  • Maintaining supply inventory.
  • Maintaining office equipment as needed.
  • Creating, maintaining, and entering information into databases.
  • Overseeing clerical tasks, such as sorting and sending mail
  • Keeping an inventory of office supplies and ordering new materials as needed
  • Some cleaning and errands
  • Taking and delivering messages
  • Ensuring the office runs smoothly
  • Scheduling meetings and sending meeting invites to attendees
  • Assisting with New employee on-boarding
  • Assistance with travel arrangements, meeting room bookings, and events
  • Ad-Hoc support to Marketing team with regards to EXPO and corporate Events including helping to manage logistics and shipping


  • Experience as an office assistant or in a related field.
  • Proficiency in MS Office (MS Excel and MS Outlook, in particular)
  • Experience in using Sharepoint
  • Excellent time management skills and ability to multi-task and prioritize work
  • Attention to detail and problem-solving skills
  • Excellent written and verbal communication skills
  • High school diploma or associate’s degree.
  • Ability to write clearly and help with word processing when necessary.
  • Warm personality with strong communication skills.
  • Ability to work well under limited supervision.
  • Have a valid driver’s license.
